DiverCity Organizational Structure
General Assembly: All the members of The DiverCity Group
DiverCity Planning Committee: Description: The DiverCity Planning Committee is the chief body in charge of The DiverCity Group. Its role is to coordinate the activities of the other committees, to plan future festivals, to make executive decisions on behalf of The DiverCity Group, and to oversee the activities of all members of The DiverCity Group. This Committee is also in charge of keeping records for The DiverCity Group, managing the financial activities of The DiverCity Group, and maintaining this website. The DiverCity Planning Committee consists of A.) the two Founders of The DiverCity Group, B.) the “Core Four” Co-Coordinators of Unity in DiverCity 2005, C.) eight Committee Representatives, D.) any current Sponsor/Partner Representatives, and E.) four Elected Officers. The Elected Officers consist of four positions to be elected annually: 1.) Chairperson, 2.) Vice-Chairperson, 3.) Media Relations Officer, and 4.) Treasurer. Festival Planning Committees:
Advertising Committee: Description: The Advertising Committee is in charge of all advertising for The DiverCity Group and the annual DiverCity festivals. This Committee works with community media to place advertisements for events, send out press release information, conduct interviews, place editorials, and develop marketing campaigns. Volunteers Committee: Description: The Volunteers Committee is in charge of recruiting and coordinating volunteers for the annual DiverCity festivals. This Committee is responsible for keeping volunteer information (including number of hours contributed), training volunteers, providing for the needs of volunteers, and distributing certificates of appreciation to volunteers who complete an event. Displays Committee: Description: The Displays Committee is in charge of recruiting and coordinating all booths, displays, and non-food vendors for the annual DiverCity festivals. This Committee is responsible for inviting cultural and community groups from the area to participate in festivals, works to increase the number and variety of groups represented at each festival, tracks down local artist and craft vendors interested in participating, and provides needed information, forms, and thank-you letters to these groups through letters, meetings, and website information. Food Committee: Description: The Food Committee is in charge of providing food, and recruiting and coordinating food vendors, for the annual DiverCity festivals. This Committee also works with the County Health Department to schedule inspections, to make sure all vendors have appropriate certification, and to provide vendors the resources they need to comply with health code regulations. Entertainment Committee: Description: The Entertainment Committee is in charge of recruiting and coordinating performers, artists, music, and other entertainment for the annual DiverCity festivals. This Committee works to find entertainment from the community and the surrounding area, determines the number of stages and performance areas needed, stage-manages these areas, works with facilities staff to provide all supplies and setup needed, provides needed information to all performers, and creates performance schedules for each event. Operating Committees:
Finance Committee: Description: The Finance Committee is in charge of all the financial activities of The DiverCity Group. Its role is to work to implement a finance request system, create finance request forms, establish budgets, keep and maintain financial records, write grants, submit financial request to potential funders and sponsors of DiverCity events, and send evaluation information and thank-you letters to sponsors. Procedures and Evaluation Committee: Description: The Procedures and Evaluation Committee is in charge of establishing procedures for and evaluating the activities of The DiverCity Group. These duties include establishing an organizational structure for The DiverCity Group, creating a constitution, establishing and managing non-profit (501(c)3) status, creating an organizational Handbook, evaluating the annual festivals, reporting outcomes of these festivals, conducting program evaluation research, and presenting and publishing these results. Panel/Dialog Committee: Description: The Panel/Dialog Committee is in charge of coordinating and maintaining the dialog on diversity in Muncie that began with the Panel Discussion at the Unity in DiverCity 2005 festival. This includes keeping in contact with panelists, fostering discussion among the discussants via e-mail, organizing panel discussions at future festivals, and creating and maintaining a message board for panel discussants to use in continuing their dialog, with the assistance of the webmaster.
